Set up your agency with confidence.

Use this guide to complete the first operational setup, invite the right people, verify your enabled modules, and know where to go when you need help.

First-week launch sequence

Add administrators and users

Create only the users who need access, assign the least-privileged role, and send secure account invitations.

Configure provider levels and credentials

Set provider levels, credential types, expiration rules, and education requirements before importing staff records.

Verify the provider experience

Confirm a real invited provider can sign in, see only their permitted information, and complete a normal workflow.

Test enabled operational modules

Use non-sensitive test records to verify each enabled module, its permissions, and its agency boundaries.

Complete the go-live review

Confirm owners, support routing, recovery access, data-handling rules, and the approved launch date before production use.

Safe-use reminders

Use your agencyโ€™s approved policies and the minimum information necessary for the task.

Accounts and permissions

  • Never share passwords or temporary access links.
  • Use individual accounts and the least-privileged role.
  • Remove or suspend access promptly when duties change.

Patient and personnel information

  • Do not enter PHI unless the workflow is formally authorized.
  • Keep test records synthetic and clearly labeled.
  • Do not paste patient narratives into support cases.

When reporting an issue

  • Include the page, action, expected result, and time.
  • Include the case number in follow-up communication.
  • Never include passwords, access codes, or secret keys.
